Job Description
Position Summary:
This full-time, non-exempt position provides high-level administrative support to three attorneys in the Corporate and Tax Practice Groups in the Jackson office. The Legal Administrative Assistant (LAA) supports attorneys by managing calendars; preparing, editing, and formatting documents; maintaining client files; and facilitating timely internal and external communications. Key traits for success in this role include accuracy, sound judgment, responsiveness, and professionalism.
Essential Job Duties:
- Open, close, and maintain client files, keeping them organized and current, both in electronic and hard copy format.
- Format, edit, proofread, and revise all letters, memos, reports, and other documents.
- Maintain daily appointment calendar, book meetings, and make travel arrangements.
- Facilitate meeting deadlines by proactively reviewing the calendar and providing timely reminders to attorneys.
- Enter attorney time in timekeeping software (Intapp Time) and coordinate monthly billing.
- Answer phone calls, take messages, and redirect calls when appropriate.
- Transcribe dictation from attorneys.
- Regularly communicate with clients by email, phone, and in-person.
Qualifications:
- Previous legal administrative assistant/legal secretary experience specific to transactions, corporate law, and/or tax is desired.
- High school diploma or equivalent required; Bachelor's degree preferred.
- Willingness to embrace new technology and adapt to change.
- Proficiency with the MS Office Suite, especially Microsoft Word, Excel and PowerPoint.
- Experience in or ability to quickly learn iManage document management system.
- Ability to multi-task and manage multiple deadlines in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Strong verbal and written communication skills with careful attention to grammar, spelling, and punctuation.
- Excellent interpersonal and client service skills.

A native of Mississippi, Libby was born in the state and, after living in several places during her youth, returned to graduate from Morton High School. During that time, Libby took on increasingly complex roles, including management positions in hospitals, homecare services, private practices, and healthcare consulting. Her work as a consultant focused on guiding healthcare facilities through software transitions, demonstrating her adaptability and strong grasp of both clinical and administrative functions.
After several years focused on raising her sons, Libby re-entered the workforce and joined PSG in June 2021. While new to the staffing industry, she quickly established herself as a vital member of the team, leveraging her deep industry knowledge to identify, recruit, and place top-tier talent in legal, healthcare, IT, Accounting and Finance and general clerical roles. Her ability to understand both the needs of our clients and the aspirations of job seekers allows her to make meaningful matches that support long-term success for both clients and candidates.
